How it works

Four stages. Three client care calls. One reviewer-ready file.

The engines work in seconds. The hour is up to you: decisions, reviews and optional client care. Quality work, with you in control. The structure around the engine is the point: a job that starts properly, decisions that go through your partner, a client who hears from you at the moments that matter, and the same standard file at the end, every time. The pace can be overridden. The structure is why you would not want to.

Stage 01

Planning

The job starts the way an award-winning practice starts: before a single number is touched. Engagement letter, AML and independence checks, audit exemption risk, going concern, and the fee. And the question most firms never ask out loud: what are these accounts for? Profit minimised for tax, or presented for exit, funding or growth. Profit intent is settled here, at the front, where it changes decisions, not at the end, where it forces rework. Deadlines agreed, responsibilities clear.

The before call
The system prompts the client conversation: what we need from you, what we are preparing and why, when it will land. The client starts the job knowing what good looks like.
Stage 02

Documents in

Records are checked, validated and mapped to the chart of accounts. Lead schedules are built as the documents arrive, opening balances agreed to last year's file, and the completeness check produces one clear picture of what is missing. By default, the job does not start until the records are complete. You can override that; the point is that you choose to, knowingly, rather than drifting into a half-fed job that unravels in review.

The records call, if needed
When something is missing, the system drafts the chase: specific, itemised, dated. No vague "send us the rest".
Stage 03

Preparation

The engine does the work: preliminary analytical review, risks review, balance sheet reconciliations and VAT, PAYE reconciliation and wages analysis, year-end adjustments, specialist compliance areas, the tax computation and deferred tax, interactive working papers, drafting. Every number calculated from UK tax legislation and accounting standards, line for line. And wherever the engine detects a judgement, it stops. Options are presented with a recommendation; your partner confirms or amends; and the choice, the reason, and the timestamp are written to a permanent audit trail. Over time it learns your firm's patterns, so the recommendation arrives already sounding like you.

The during call
The client hears what was found and what was decided, while it can still be discussed rather than merely announced. This is where the numbers start to become a conversation rather than a document.
Stage 04

Review & sign-off

Final analytical review, the interactive completion checklist, the disclosure checklist, and the senior review pack: the story of the year already assembled, what changed, what was decided and why, points for partner. Review starts at the judgement, not the casting. Partner sign-off is unchanged, same standards, same responsibility, and the outputs land: working papers, final financial statements and tax computations, the corporation tax computation, directors' loan statements, the letter of representation, the value generated report, journal and ledger exports, and the client documents drafted for sending.

The after call
The year-end meeting, with a file behind it that explains itself. Because the team spent the hour on judgement rather than casting schedules, this is the conversation where the value work gets set up.
The structure is the product

None of the above is how most firms work today. That is the point.

AllDone does not automate your existing process; it puts in place a proven one, switched on by default and overridable by choice. What you buy is not speed and capacity alone. It is a job that cannot start half-fed, a decision that cannot go unrecorded, a client who cannot be surprised, and a partner file that looks the same on every job in the office.
